Sound familiar?

Opening day is Saturday at 9 AM. The parade lineup starts at 8:15 at the parking lot behind the concession stand — except the email with the details went out three weeks ago and half the parents deleted it. You've got 40 kids in uniform standing around and a dozen families calling from the wrong entrance asking where to go.

It's the Johnsons' turn to work the concession stand during the 5:30 game. They don't show up. Nobody can find the duty schedule because it was a Google Doc link in a February email. You're coaching third base and trying to sell hot dogs at the same time.

The Majors game runs long and pushes your Minors game back 45 minutes. You text the team but three families already left because they thought the game was cancelled. Two other families arrive right as it ends. The kids are disappointed. The parents are frustrated. Nobody was on the same page.

What this looks like in practice

League President Steve enters the spring schedule into iCalFeed the first week of March. He creates separate calendars for T-Ball, Minors, and Majors. Each has its own game schedule, practice times, and concession duty rotation. He emails the subscribe links in the registration confirmation. Setup for the whole league: one evening after the kids go to bed.

Carla has a son in Minors and a daughter in T-Ball. She opens her phone on Sunday night to plan the week. Monday: Minors practice at Field 2, 5:30 PM. Wednesday: T-Ball at Field 4, 5:00 PM. Saturday: her son's game at 10 AM, her daughter's game at 11:30. She also sees "Concession Duty — Martinez Family" on Saturday, so she knows it's not her week. All of it, in one calendar view.

On Tuesday, the groundskeeper finds a drainage issue on Field 1. Steve moves Saturday's Majors game to Field 3 and updates the event in iCalFeed. He adds a note: "Parking on the east side — west lot is closed for construction." By Wednesday, every Majors family's phone shows the new field and parking info. No phone tree. No frantic emails. No one circling the wrong parking lot on Saturday.

How iCalFeed compares

vs. League email blasts

Long emails with six different topics. The schedule change is in paragraph four. Nobody reads that far.

Each game is its own calendar event. Tap it, see the time, field, and details. Nothing to read between the lines.

vs. Team apps (TeamSnap, GameChanger)

Every division uses a different app. Parents with kids in multiple divisions are juggling three logins and three notification streams.

Subscribe to each division's calendar. Everything shows up together in one calendar app they already use.

vs. Printed schedule magnet

Handed out in March. By May, three rainouts have reshuffled half the schedule and the magnet is buried under report cards.

Always current. Rainout reschedules update on every phone automatically.

vs. League website

The schedule page hasn't been updated since the webmaster's kid aged out two years ago.

You control the schedule from your phone or laptop. Updates reach every subscriber automatically.
