Sound familiar?

It's 5:55 AM. A member pulls into the parking lot for the 6:00 AM class. The doors are locked. You cancelled the early class today because Coach Sam is sick and you couldn't find a sub. You posted it on Instagram at 9 PM last night. She doesn't check Instagram at 5:30 in the morning. She drove 20 minutes in the dark for nothing.

You're running a six-week Olympic lifting cycle on Saturday mornings. Starts at 9:00 AM, not the usual 8:00 AM open gym. You've mentioned it at the end of every class for two weeks. You put a sign on the whiteboard. Saturday morning, four members show up at 8:00 expecting open gym and are surprised to find a barbell clinic. Two of them didn't bring lifting shoes.

The box is closed for Thanksgiving. You posted it everywhere — Instagram, Facebook, the member portal, the whiteboard. Three members still show up Thursday morning. One of them drove 25 minutes. They're annoyed. You're getting texts from your in-laws' house. Happy Thanksgiving.

What this looks like in practice

Box owner Jason sets up iCalFeed on a Sunday afternoon. He creates two calendars: Daily Classes and Special Events. The daily calendar has recurring classes — 5:30 AM, 6:30 AM, 9:00 AM, noon, 4:30 PM, 5:30 PM, Monday through Saturday. Open gym on Sundays. The events calendar has the upcoming in-house throwdown, the CrossFit Open schedule, and the Olympic lifting clinic series. He puts a QR code on the whiteboard next to the daily WOD. Setup: 30 minutes.

Elena is a 6:30 AM regular. She checks her phone Tuesday night to plan the rest of the week. Wednesday: 6:30 AM class. Thursday: 6:30 AM class. Saturday: In-house throwdown, heats start at 9:00 AM (arrive by 8:30 for warm-up). She also sees the box is closed next Monday for Labor Day. She adjusts her week. No checking the Instagram story. No texting the coach. It's all on her phone.

Coach Sam wakes up sick on Friday at 4:30 AM. Jason can't find a sub for the 5:30 class. He cancels it in iCalFeed and adds a note: "5:30 class cancelled — Coach Sam is under the weather. 6:30 and all other classes running as scheduled." By 5:00 AM, every member's phone shows the cancellation. The 5:30 regulars see it before they leave the house. Nobody drives to a dark gym.

How iCalFeed compares

vs. Instagram stories

Schedule changes disappear after 24 hours. Members who check at 5 AM aren't scrolling stories. And you have to post it every time something changes.

Schedule changes are permanent in the calendar. Members see them whenever they check their phone, even at 5 AM.

vs. Gym management app (Wodify, SugarWOD)

Great for logging scores. Not great for telling people the 5:30 class is cancelled before they drive to the gym. Members have to open the app and check.

Class times and cancellations are in the calendar they already check. No separate app to open.

vs. Whiteboard at the box

Only useful if you're at the gym. Doesn't help at 5 AM when you're deciding whether to get out of bed.

The schedule is on your phone at home, in bed, before you commit to the drive.

vs. Member Facebook group

Holiday closure announcement lost between PR videos, meal prep photos, and "Who left their knee sleeves?" posts.

Closures and schedule changes sit in the calendar. No feed to scroll through.
